Cancellation & Refund Policy
Last updated 17 October 2026. This policy forms part of the terms and conditions.
1. If you cancel
Cancellations take effect when received in writing at sarp@sarpgurelmedia.com. A booked date is turned away from other clients, which is what the tiers below reflect.
| Notice before the shoot | You pay |
|---|---|
| More than «N» days | Deposit only |
| «N»–«N» days | «%» of the agreed fee |
| Fewer than «N» days | «%» of the agreed fee |
| On the day, or no-show | 100% of the agreed fee |
The deposit is non-refundable once the date is held, because it covers turning other work away. Costs already incurred on your behalf — travel, permits, hired equipment, prints — are charged in addition at cost.
2. Rescheduling
A booking may be moved once at no charge with at least «N» days' notice, subject to availability, and the deposit carries across. A second move, or a shorter notice, is treated as a cancellation under section 1. Where the Studio causes the move, no charge applies.
3. If the Studio cancels
If the Studio cancels for any reason, you receive a full refund of everything paid, including the deposit, within 14 days. A replacement photographer or an alternative date will be offered first where possible. Beyond that refund, the Studio is not liable for your other costs.
4. Weather
For outdoor shoots, either side may postpone without charge if the weather makes the work impossible or unsafe, decided no later than «N» hours before the start. A replacement date is agreed at the time.
5. Consumers: the 14-day right of withdrawal
If you book as a consumer and the agreement was concluded at a distance — online, by email or by phone — you have 14 days to withdraw without giving a reason, counting from the day the agreement was made (Art. 6:230o Dutch Civil Code).
Two things qualify it, and both matter:
- If you ask for the work to start within those 14 days, you must say so expressly. You then owe a proportionate amount for what has already been done if you withdraw afterwards (Art. 6:230s BW).
- Once the service has been fully performed — the shoot has taken place — with your express prior consent and your acknowledgement that you lose the right of withdrawal on completion, the right lapses (Art. 6:230p(d) BW).
Where the shoot is booked for a specific date or period, the right of withdrawal does not apply at all: Art. 6:230p(e) BW excludes leisure services supplied on a specific date. Most bookings fall here, and section 1 governs them instead.
To withdraw, send a clear statement to sarp@sarpgurelmedia.com within the 14 days. You may use the Dutch model withdrawal form, but you do not have to.
Custom work made to your specification — a logo, a bespoke identity — is excluded from the right of withdrawal under Art. 6:230p(f)(1) BW once production has started with your agreement.
6. Refund timing and method
Refunds are paid within 14 days of the right to one arising, by the same method you paid with, unless you agree otherwise. No fee is charged for issuing a refund.
7. Delivered work
Photography is a creative service, and a refund is not available because the creative choices are not to taste. If delivered work is technically defective — out of focus, corrupt, materially different from what was agreed — tell the Studio within «N» days and it will be reshot or corrected at no charge, or the fee for the affected work refunded if that is not possible.
8. Disputes
Raise the problem directly first: most things are resolved in an email. Failing that, Dutch law applies and section 12 of the terms and conditions governs. Consumers in the EU may also use the European Commission's online dispute resolution platform.
